After selecting a trip that fits your requirements and timeframe, you can send a quick inquiry for further steps. We also offer customized trip packages based on your needs, whether you prefer a private trip or a group trek.
After agreeing on the trip package, you will need to send us a copy of your passport. This is required to reserve the guide and to issue the necessary trekking permits.
After confirming all the details of the trip, you will need to make an advance payment to secure your booking.
Our payment terms require a 20% advance deposit of the total amount to confirm the trip, which must be transferred to our bank in USD via bank transfer. The remaining balance must be paid at least one month before the trip begins or can be settled in cash upon arrival. This advance deposit covers permit fees, guide arrangements, and trip preparation.

The bank service charge should be paid by the clients at the time of deposit. The charge varies depending on the sender's location, typically ranging from 2% to 4% of the total transferred amount.
If the trip is canceled before it starts, the deposit is both non-refundable and refundable, meaning we offer both options. If you are already in Nepal before the trip begins and need to cancel due to a family problem or health issue, we will refund the full deposit. However, if you are in your home country and wish to cancel the trip, we can provide a refund, but not directly, as sending money from Nepal to other countries is difficult. Instead, you can use the deposit for your next trek in Nepal or authorize a friend to collect the refund on your behalf.
We will be more than happy to modify your booking with High Pass Adventure Trekking at no additional cost. However, if you postpone the trip to the following year or by 4-5 months, the total cost may increase due to rising expenses. If you wish to delay the trip by 2-3 days from the original start date, any changes in flight schedules and hotel bookings may result in extra cancellation charges, which clients will be responsible for, as per the respective policies.
We will be delighted to accommodate your last-minute booking for Nepal trips, including trekking, climbing, tours, or other tourism-related services, with full payment required at least seven days to two days before the tour starts. Please note that, unfortunately, we are unable to accept last-minute bookings for trips outside of Nepal, such as those to Tibet and Bhutan.
After booking the trip, we provide a full guarantee of operating the trips on time. However, for certain regions where flights are required, such as Lukla, Jomsom, Juphal, Simikot, and some other areas, flight schedules may be affected by weather conditions. In such cases, we must wait for favorable weather, but some trekkers may not have enough time to wait. In this situation, we do our best to offer suitable alternatives. If necessary, trekkers may need to switch to an accessible trekking route. Our motto is to provide the best and most reliable services to ensure mutual satisfaction and benefit for both sides.
Travel insurance is essential when visiting Nepal due to unpredictable weather conditions and potential issues such as health problems and altitude sickness. Your travel insurance should cover helicopter evacuation and other necessary transportation.
It must also include coverage for air ambulance services, medical care, and travel-related risks such as flight delays, as well as lost, stolen, or damaged baggage. Additionally, ensure that your insurance policy covers trekking up to the maximum altitude you plan to reach. If not, you will be responsible for any unforeseen costs during your trek in Nepal.
For Gorakshep to Kathmandu or any places to Kathmandu helicopter flights, the cancellation policy is as follows: a full refund is possible if trekkers cancel at least two weeks before the start of the Everest Base Camp Trek. After landing in Lukla, if trekkers wish to cancel the helicopter flight, a 25% cancellation charge applies. If trekkers cancel within one day of the helicopter flight date, the full cost is non-refundable. If the helicopter is unable to fly on the scheduled date due to bad weather, the customer will receive a full refund with no charge.
Kathmandu to Lukla-Kathmandu flights are one of the most crucial transport options for trekkers heading to the Everest Region and returning to Kathmandu. However, due to the proximity to the Himalayas and unpredictable weather conditions, these flights are often delayed or canceled, particularly during the winter and monsoon seasons, or in the event of bad weather.
Reasons for Flight Cancellations
The most common reason for flight cancellations between Kathmandu and Lukla is bad weather. Poor visibility, high winds, fog, clouds, or heavy rain in the Lukla region, along the flight route, or at Kathmandu Airport can make it dangerous for flights to land and take off.
Sometimes, flights are canceled due to maintenance or technical issues with the aircraft.
For the Lukla flight, you need to fly from either Kathmandu or Ramechhap. During the peak trekking season, flight slots may be delayed or canceled due to air traffic congestion at Kathmandu Airport.
If your flight is canceled due to weather or other reasons, airlines typically try to reschedule it for the next available day. If rescheduling is not possible, they may offer a full refund for the ticket cost.
If your flight is canceled at the scheduled time, you will need to wait until visibility improves. If visibility remains poor throughout the day, you must rebook the next available flight through your trekking agency. In most cases, the airline will prioritize getting you to Lukla as soon as weather conditions improve. If you are trekking on a tight schedule, consider planning extra days in Kathmandu to accommodate potential delays.
If the flight is canceled due to weather conditions, the airline offers a full refund. Refund policies vary by airline, but typically, if you cancel your ticket several days before departure, you may receive a partial refund, with a 13% cancellation charge applied.
If you need to cancel your flight yourself, most airlines charge cancellation fees, which increase the closer you get to the departure date. This means you should cancel at least one day in advance and inform the airline to avoid higher charges. The standard cancellation fee is 13% for name changes or flight ticket cancellations.
